Who we are
RAM-EN IT SERVICES UK LIMITED is the controller responsible for personal data processed through this website and our business communications. Our legal and contact details appear at the end of this page.
Scope of this policy
This policy covers people who visit our website, people who contact us by email, phone or messaging apps, and representatives of clients and suppliers we deal with during proposals and projects.
For websites, apps and admin panels we design or build for our clients, the client is the controller of the personal data processed through them. In that role RAM-EN acts only as a processor on the client’s instructions, and the client’s own privacy notice applies to those services.
Information we collect
We collect only the information needed to operate the website, respond to enquiries and provide our services. Please do not send special-category or highly sensitive information unless we specifically ask for it through an appropriate secure method.
- Contact details and the content of messages you send to us.
- Company, project, budget and service information you choose to provide.
- Technical and security records such as IP address, browser type, access time, requested page and server error logs.
- Copy, images, brand files and service access details you choose to share during a project; we use them only for as long as the work requires and through secure channels wherever possible.
- Commercial records such as proposals, contracts, invoices and payment records.
Why we use it and our legal bases
We process personal data only where we have a lawful basis. The basis depends on the context and the relationship we have with you.
- To answer enquiries, prepare proposals and take steps before entering a contract.
- To deliver and administer agreed services and fulfil our contractual obligations.
- To secure, maintain and improve the website based on our legitimate interests.
- To meet legal, tax, accounting and regulatory obligations.
- To send optional marketing only where consent or another valid legal basis applies. We do not currently operate a newsletter through this website.
How data is collected
Data may be provided directly when you email or otherwise communicate with us. Limited technical data may be generated automatically by our hosting and security infrastructure when you access the website.
Who we share data with
We may share the minimum necessary data with trusted hosting, email, IT, cloud, accounting and professional service providers acting under appropriate duties. We may also disclose data where required by law, a court or a competent authority. We do not sell personal data.
International transfers
RAM-EN operates between the United Kingdom and Türkiye and may use service providers in other countries. Where personal data is transferred internationally, we apply the transfer conditions and safeguards required by applicable data protection law.
How long we keep data
We retain personal data only for as long as reasonably necessary for the purpose collected, including legal, accounting and dispute requirements.
- General enquiries that do not become a project are normally retained for up to 24 months after the last contact.
- Client, project, invoice and contract records may be retained for the applicable statutory and limitation periods.
- Technical security logs are retained only for the operational period needed for security and diagnostics.
- At the end of the period, information is deleted, anonymised or securely archived where the law requires continued retention.
Cookies and similar technologies
This website does not use analytics, advertising or profiling cookies. We keep a single local storage record in your browser only to remember that you dismissed our privacy notice. See the Cookie Policy for details and manage the record on the Cookie Settings page.
Automated decision-making and profiling
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects, and we do not build profiles by tracking visitor behaviour.
Children’s privacy
Our website and services are intended for businesses and people aged 18 or over. We do not knowingly collect personal data from anyone under 18; if we learn that we have, we will delete it within a reasonable time.
Your rights
Depending on the law that applies, you may have rights to access, correct, erase, restrict or object to processing, request portability, withdraw consent and learn how your data is used. Rights under Article 11 of KVKK also apply where KVKK governs the processing. Contact us by email to exercise a right; we may need to verify your identity.
How to make a request and response times
To exercise a right, email us at the address below with enough information for us to verify your identity. Telling us which data and which processing your request relates to helps us respond faster.
- Requests under the UK GDPR are normally answered within one month; where a request is complex or one of several, we may extend this by up to two further months and will tell you why.
- Requests under KVKK are concluded according to their nature within 30 days at the latest and, as a rule, free of charge.
- Where a request is manifestly unfounded or excessive, we may refuse it or charge a reasonable fee as the law allows.
Data security
We use technical and organisational measures appropriate to the risk to protect your data against unauthorised access, loss and misuse. We limit access to people who need it, choose service providers that are bound by security obligations and avoid collecting more data than necessary. No internet transmission is completely risk-free, so please share sensitive information only through secure methods we agree with you.
Complaints and changes
Please contact us first so we can address any concern. You may also complain to the UK Information Commissioner’s Office (ICO) or, where applicable, Türkiye’s Personal Data Protection Authority (KVKK).
We update this policy when our practices or legal duties change. The date of the current version is shown at the top of the page, and we will communicate significant changes by reasonable means.
